Reports to Office Manager (Deputy CEO in interim)

Hours of work 21 hours per week (working days to be negotiated)

25 day’s holiday per year (pro rata) + Public and Bank Holidays

Salary £23,500 full time equivalent, £12,337 actual

Overall Responsibilities

This is an exciting opportunity to help develop and manage the Human Resources function of HEH Mind’s expanding workforce, supported by HEH Mind’s external HR consultancy.

The successful candidate will be able to demonstrate a strong background in Human Resources, with the ability to help shape and maintain a strong HR function.

Specific Responsibilities

• Work with managers to manage and maintain the effective running of HEH Mind’s HR platform (Breathe). Maintain employee records according to policy, data protection and legal requirements
• Contribute to continuous improvement of HR systems and practices
• Assist with updating and implementing of policies and procedures
• Co-ordinate and undertake the onboarding and induction process for all new joiners

• Liaise with our HR consultant organisation on employment law matters and provide advice and assistance to management on items such as policies, procedures and legislation.
• Administer employee leaver process
• Provide administrative support to the recruitment process including; researching and tracking effectiveness of alternative media, placing of advertisements, managing candidate correspondence including invitations to interview, acting as point of contact for any candidate queries during the recruitment and selection process
• Prepare all letters or contracts for any variations to employee terms and conditions e.g. changes in working pattern
• Undertake all required pre-employment and DBS checks, updating and discussing with the line manager as appropriate. Ensure all DBS checks are renewed every 3 years.
• Calculate and distribute annual leave entitlements
• To prepare, as required, management reports on employee-related data to assist with the management and development of staff
• Provide support as necessary meetings for example disciplinary & grievance etc e.g. taking notes at meetings.

Communication Responsibilities

• Being a first point of contact within the department, providing routine advice to Line Managers and staff
• To adopt a team approach and be a proactive team member

• To promote positive perceptions of HEH Mind at all times
• To develop an in-depth knowledge of the organisation and its services and liaise with staff & users as required.

• To attend supervision, appraisals and team meetings
• To attend training and relevant courses for professional development
