Rose Cole, CEO of BeautyWay In Unity, is seeking a part-time Executive Virtual Assistant that will help support her as she takes this non-profit to the next level. She is looking for a kick-ass, detail-oriented person that will stay on top of her emails, social media, calendar, travel, and occasional live events on a weekend. You are the ideal candidate if you have a high EQ and a desire to serve.

Rose is a world-renowned speaker, author, and spiritual guide. She was adopted by a Native American medicine man and is now herself a modern-day medicine woman. She has been given the right to perform rites of passage ceremonies using sacred native plants – an honor bestowed upon few women within her spiritual path. She offers a year-long training called the Shamanic Academy as well as in-person retreats, online programs, books, and a line of advanced superfoods and wellness products called High Vibe Formulas.

You are perfect for this role if you enjoy managing a busy Outlook calendar, formatting marketing emails, and moderating on Facebook. You have a servant’s heart and are committed to leaving each person in a better state than the way you found him (or her). Whether you are creating tasks in Asana for the CEO, researching a tax-related question, or rescheduling a client appointment over the phone, your proactive and positive personality always shines through.

Offer Details

This is a part-time, remote, contractor position.

Pay is between $35-40 per hour (based on experience) for 20-25 hours per week.

NOTE: Only candidates in the United States or Canada will be considered for this position.

Responsibilities (tasks associated with the role)

• Function as the gatekeeper to the CEO

• Manage CEO’s inbox

• Respond to emails and document requests on behalf of the CEO

• Ensure CEO’s busy calendar is proactively maintained so that all information regarding appointments and obligations is 100% accurate and accomplished

• Assist CEO with personal tasks

• Oversee personal projects for the CEO

• Book travel, meetings, and public appearances for the CEO

• Review, research, and prepare paperwork for banks, title companies, property taxes, and business licenses

• Moderate social media posts and comments

• Approve members in the private Facebook group

• Read comments and warn/remove content that does not align with group standards

• Moderate comments on Facebook Ads

• Format professional emails within the marketing system

• Proofread all documents and digital content

• Track data and update spreadsheets

• Download videos from Zoom and upload them to online storage platform

• Streamline business operations to facilitate efficiency

• Complete all tasks within 24 hours on business days

Requirements (expected proficiencies to excel in this role)

This position is for a person who is/has:

• At least 3 years experience working as an Executive Assistant (5+ years preferred)

• Experienced working remotely with virtual teams and supporting CEOs, coaches, authors, and/or speakers

• Experienced with Asana and the other software listed below

• Experienced in managing, organizing, and coordinating a C-level executive’s calendar using Microsoft Outlook

Additional requirements:

• Willing to commit to working with us for at least 2 years and provide an 8-week minimum notice of departure

• Available to work daily between 9 AM and 12 PM PST

• Access to a computer with a reliable high-speed internet connection

• Distraction-free work environment

• Must be proficient in Microsoft Office Suite

This position is NOT for someone who:

• Prefers a slow-paced work environment

• Has a fixed, closed mindset

• Is uncomfortable speaking with clients on the phone and on social media

• Is unavailable to work during PST operating hours and communicate daily with the CEO in the morning

• Is uncomfortable working in a spiritual environment
